Aios offers consulting services in the areas of IT consulting, audit, valuation and tax. Interdisciplinary teams of consultants, auditors and tax advisors support our clients: small and medium-sized commercial enterprises throughout Germany, as well as listed stock corporations and public corporations. With so many project participants, who are also often active at different locations in Germany, there is an increased need for coordination. A good two years ago, we therefore started looking for project management software.
AIOS GmbH Wirtschaftsprüfungsgesellschaft Steuerberatungsgesellschaft is known throughout Germany for customised solutions in the areas of IT management, business performance management and organisational and management consulting.
Our IT management services include architecture, business continuity management, IT processes, IT outsourcing and IT controlling. In the area of business performance management, we offer the design and implementation of business intelligence solutions. In the organisational and management consulting segment, we advise on business process optimisation and change management.
Aios counters the special challenges of complex project situations with the interdisciplinary co-operation of the Aios companies: Aios Corporate Finance - an auditing company and Aios Tax - a tax consulting company, as well as with recognised cooperation partners from science and research.
Previous way of working was no longer reliable
Up to this point, we had been working with a combination of various Microsoft products - primarily Outlook and Excel - and a self-programmed Access database application.
This way of working in several systems was not always reliable, and there were also some shortcomings that we no longer wanted to tolerate. We were therefore specifically looking for an application for the entire life cycle of a project - from acquisition to filing. Personnel management and planning needed to be integrated, as did invoicing. The top priority, however, was processing via the Internet, as we planned to involve our customers from the outset and naturally wanted to provide them with convenient access. The decision was made very quickly in favour of Projektron BCS, especially as hardly any adjustments were necessary. We only had minor additions made to the reports and two or three additional data fields for recording expenses. The bookings view provides an overview of all billable bookings for the project in the selected period.
Expansion in sight
Our employees have been working with Projektron BCS since 2007. They particularly like the uncomplicated operation of the software, which only requires a short familiarisation period. Another major advantage is that project planning, effort documentation and project overview are handled in a single programme, eliminating the need for "transfers" from one system to another, once a frequent source of errors.
Ressourcenplanung, Anwesenheitsübersicht und Terminverwaltung über Projektron BCS ist für weitere Ausbaustufen vorgesehen. Unverzichtbar sind dagegen schon jetzt die Funktionen im Bereich der Zeiterfassung und der Faktura. Wir kalkulieren bereits in der Projektplanungs- bzw. Angebotsphase den zeitlichen Aufwand, den ein Projekt für die beteiligten Mitarbeiter bedeuten wird. In der Projektabwicklung können die anfallenden Projektaktivitäten dann sofort in dieser Struktur erfasst und im weiteren Verlauf für die Faktura verwendet werden. Zusätzlicher Aufwand für den Stundennachweis gegenüber dem Kunden oder für interne Controlling-Zwecke entfällt. Leistungs- und Abrechnungsdaten, die vormals in unterschiedlicher Detaillierung und in unterschiedlichen Tools bzw. Excel-Listen erfasst und ausgewertet wurden, werden jetzt originär durch die Mitarbeiterbuchungen generiert.
Damit haben wir eine immense Zeitersparnis sowohl für jeden Projekt-Mitarbeiter als auch für unsere Buchhaltung erreicht - gleichzeitig konnten wir in punkto Datenqualität und Datenkonsistenz eine beachtliche Verbesserung erzielen. Auch die Projektplanung gefällt uns sehr gut, selbst wenn wir manchmal aus Gründen der Ökonomie auf die Erfassung sämtlicher Details verzichten müssen.
