Founded in 1948, the Geis Group, headquartered in Bad Neustadt, now has more than 6,100 employees at 127 of its own network and logistics locations and an international network of partners and cooperations at the economic hubs.
The range of services offered by the Geis Group includes Europe- and worldwide distribution via Road Services and Air + Sea Services – including sophisticated project management. In the growing field of logistics services, Geis also handles the design and implementation of complex outsourcing projects – from customising to value-added and IT services.
Today, Geis' IT division has a centrally managed team of around 50 employees who are responsible for programming applications and maintaining and further developing our software.
Projektron BCS put an end to the paper chaos
The Geis Group is extremely expansive. That is why, in recent years, new company divisions have almost permanently had to be integrated into the existing IT architecture. The number of parallel projects has increased steadily. We have been organising ourselves for a long time on the basis of various Excel spreadsheets. However, this increasingly proved to be too confusing – not least when it came to documenting to management that the IT department was at its capacity limit.
That's why we started to have a close look at various software solutions for project management. Projektron BCS proved to be the best candidate. The range of features available in the software impressed us. In view of our many locations, the fact that Projektron BCS is web-based was also a major plus.
Today, we use the software for our project and resource planning. We use the system to evaluate our employees' working hours and use the reporting functions. This has made our work much clearer.
We involved our employees in the introduction of Projektron BCS from the very beginning – and they quickly realised that the software would help them. It initially requires a certain amount of additional work to plan projects in a structured way and to enter the necessary data. However, once the project is up and running, it saves a great deal of time that used to be spent on searching, rescheduling and coordinating.
Documents linked to the project to which they belong
We also quickly learned to appreciate the document management: previously, important documents were scattered on the file server. Today, they are firmly linked to the project to which they belong. In addition, the complete history of a document is always available. This means that it is still possible to see who made which changes to the plans or documentation and when. Our employees at the base now have a tool that they can use to document the capacity utilisation rate.
We, in turn, like the fact that our employees' holiday planning, for example, is automatically incorporated into resource planning. Of course, a little self-discipline is required to be able to benefit from Projektron BCS: The system stands and falls with the quality of the planning and the data that is entered. That's why one of our goals for the future is to create an even more precise database and to fine-tune resource planning even more.
We also want to motivate other departments in our company to do their project planning with Projektron BCS. The system has simply convinced us.
