Introduction of a PM system in a multimedia agency
User report from IBM iX Berlin
The company IBM iX Berlin GmbH opted for the project management software Projektron BCS and introduced the product after a one-month test run in 2001.
Requirements of a digital agency for a project management tool
As part of the global IBM iX Studio network, IBM iX Berlin GmbH is one of the world's largest providers of digital experience services.
As a wholly-owned IBM subsidiary, it supports organisations, companies and brands from all industries in their digital transformation and in the development of new digital business models. Current clients include Baloise, Barmer, Berliner Verkehrsbetriebe, Bundeswehr, Deutsche Rentenversicherung, Siemens and TAG Heuer.
In 2001 - at that time with less than 100 employees - IBM iX Berlin GmbH was looking for a suitable solution for project management. Many of the solutions already tested were too complex and maintenance-intensive and did not meet the requirements of the growing digital agency.
IBM iX Berlin GmbH decided on Projektron BCS because, on the one hand, it is easy to use due to its manageable range of functions, but at the same time it can be flexibly adapted to the individual needs of the company. After a one-month test run, IBM iX Berlin GmbH has completely switched to the new software.
More transparency in the projects
Projektron BCS brings three major advantages for IBM iX Berlin GmbH: Transparency, data exports and imports, and prototype staffing.
1. Transparency
Project and budget planning with the respective customer is transferred 1:1 into employee tasks by Projektron. All tasks are clearly defined with effort and time and each employee receives an individual task list.
The system automatically reports if an employee needs longer for a task than planned. This means that the project manager always has an overview of whether and how the project is running and can take action if necessary.
2. Data exports/imports
The ability to independently configure data exports and imports after two administration training sessions and some assumed technical understanding is a gain for internal and external reporting.
Regular and ad-hoc reporting can be quickly implemented in conjunction with our business intelligence software without external consulting.
3. Prototype Staffing
In the second half of 2022, employee deployment and capacity planning was also implemented and rolled out in a pilot department as an extension to project management. The integration into the existing project structure directly in the software brings strong efficiency advantages. According to plan, the module will be rolled out to all departments at the beginning of 2023.
